Sharon: First question: what file app is he using for his doc? With
this limited information, I'll attempt to share this advice: Here's my
experience:

1. I created hardcopy docs in Word. (no choice.)
2. for the screen caps, I'd do "print screen" or alt+print screen.
3. I'd then paste into Paint and edit there, because I didn't need
EVERYthing in the screen cap, so I'd edit there, and reduce the color
levels to 16-color (to save some bmp space). (Often, I'd need to cut
out just a button, or one menu from the whole screen cap, etc.) Also
gave it a name that I could remember later, in case the cap would need
to be updated (!) before the release...
4. Then I'd Insert/Picture/From file into my Word doc (I kept a
separate directory for all the bmps, just to be orderly, and a quick way
to look at the record of screen caps.
5. From my Word97 version, I could make callouts/text boxes with the
balloon shape, though the earlier versions had the options of boxes, or
no outline, if I recall....
I know there are lots of other choices for this task, but mine has
worked for me.

A colleague wanted me to post a question to the group:

He is writing training manuals and wants to capture screen shots. He
then
wants to add call out "balloons" with text to explain the various screen
elements. Currently, he uses Paint Shop Pro or RoboHelp for the screen
shots, then imports them into Visio to add the extra graphics. Is there
an
easier way? Is there a package that would allow him to do this all in
one
shot?

He would appreciate any expertise you can provide. You may answer to me

I will summarize for the list if there is interest.
