Bev Parks wondered about a replacement for the word
"person" (or "individual"). Bev, the example you gave makes
it look as if you're writing instructions for the user of
the program. Could you simply switch to the imperative and
use "you" and "your"? Your example would then become "The
summary... of your total hours."
If the user is actually entering the data on behalf of
someone else, you're probably stuck with "person or
individual". Both work fine in the example you gave.
