I think you're doing great. Your description of a simple Excel file sounds like you're capturing all the relevant information.

Don't feel like you have to over-engineer a solution. The point is to get the job done, and probably not to dazzle them with the abstract elegance of something that takes a long time to create and a ton of training or documentation to maintain.

You're on the right track.
